Do your homework before giving presentations

One of the more difficult tasks application development managers face is the oral presentation. Regardless of the subject matter, an effective presentation can have a significant impact on a development team\'s success in securing resources, influencing organizational decisions, or guiding strategic plans. Alternatively, a poor presentation can raise concerns about your ability to effectively pursue the goals in question.

With public speaking, preparation is the key. By practicing your presentation, you can improve your delivery skills. To help ensure success, focus on five general areas : planning and strategy, structure, delivery, challenges and questions, and personal preparation.

Plan your purpose
The first step in preparing your presentation is to know your objective. Presentations usually fall into one of three general categories : informative, motivational, or influential. Informative presentations educate the audience on a particular subject matter. Motivational presentations seek to inspire action or a desire for action that results from the delivered information. Influential presentations attempt to sell your ideas on a given subject to help guide the decision-making process.

A critical component in the planning stage is to know your audience. You need to tailor the delivery of your message to meet the needs, desire, position, education, attitude, and role of your audience. You must also possess a clear understanding of your own role during the presentation. Will you act as a teacher, advocate, or informer ?

Structure your thoughts
Once you\'ve clearly defined your approach, the next step is to build an outline of your presentation. You want to organize your thoughts into a cohesive flow that allows for the smooth transition from point to point. Clearly identify the key points you wish to make and then organize them in such a way that will help your audience remember them. Here are some key points to remember.

¡¤ Remember your audience : Get their attention, maintain their attention, gain their confidence, and request their action.
¡¤ Begin by identifying your subject matter and the outcome you expect from the presentation. Your opening should grab the audience\'s attention.
¡¤ Keep it simple : Don\'t make the point so complicated that you confuse or lose your audience\'s attention.
¡¤ Establish creditability by discussing both the pros and cons of your key points.
¡¤ Include visuals such as overheads, posters, flipcharts, or whiteboard notes.
¡¤ Conclude with a summary.

Practice your delivery
Once you\'ve prepared your presentation, it\'s time to focus on the elements of delivery. While individual presentation styles differ, the objectives are typically the same. Remember that communication is both subjective and emotional. You want to influence your audience\'s attitude, motivation, interest, and enthusiasm. Here are some factors that can help.

¡¤ Appropriate posture, dress, and behavior
¡¤ Confidence in material
¡¤ Speaker\'s attitude
¡¤ Pace or timing
¡¤ Voice tone and volume

Once you have the audience\'s attention, make sure you keep it. If it begins to slip, take steps to regain their interest. Consider using voice inflections, humor, physical movement, gestures, etc. The single most important point in delivery is to keep to the subject at hand. As the facilitator of the conversation, you need to maintain control of the presentation. This also includes keeping the pace on track.

Expect challenging questions
Be prepared to answer questions from the audience. Many of these will challenge your position. Welcome them as an opportunity to elaborate on certain points, but don\'t stray far from your presentation. Postpone lengthy discussions until after the meeting.

Prepare yourself
Anxiety is a natural, common reaction when speaking in front of an audience. To some extent, everyone experiences some apprehension about public speaking. Here are some important tips to consider when preparing your speech.

¡¤ Prepare in advance : Practice your speech until you know the material in detail.
¡¤ Know the room : Arrive early to get a feel for the environment and to test the equipment.
¡¤ Know your audience : Nothing puts a speaker at ease quicker than a few friendly and familiar faces.
¡¤ Realize that your audience wants you to succeed ; only in the most difficult environments will you face a hostile audience.
¡¤ Concentrate on your message : Don\'t dwell on your anxiety or possibilities of failure.
¡¤ Get experience : The more you practice, the less the presentation should intimidate you.

For application development managers, presentations can be a crucial tool for influencing business decision-making. However, to be successful, you must make sure you have sufficient experience and preparation under your belt.
